General Ledger Interface

What is interfacing?

When setup in General Ledger Settings, this process will post one or more module interfaces into the Financials general ledger that have been setup to be combined.  For example, if you use the Horizon Payroll program, pulling the Payroll interface will update the general ledger with the payroll transactions.

These Horizon programs can be interfaced with the Horizon Financials module:

  1. Accounts Payable
  2. Payroll
  3. Accounts Receivable
  4. Utility Billing
  5. Inventory
  6. Tenant Accounting
  7. Section 8
  8. Fixed Assets
  9. Stratus Provider Management

Each interface is reviewed individually with an Interface Edit List.  You can pull/post each interface individually or Interface All can be setup.  Interface All will post all module information at one time.

Pull Interface

Interface Edit List

Edit lists should be run and reviewed prior to pulling the interface information for all of the modules that are combined.

NAVIGATION: UTILITIES menu > Interface Edit List

  1. Click the Interface Edit List icon.
  2. Select the module you want to review.
  3. Company/Fund Code: Select a company or funding code to interface combined information from into the general ledger of the company that the user is currently logged into.  Usually this is the same as the company the user is logged into. For example, C001, WH01, etc.
  4. Company/Fund Name will display the name of the company or fund that was selected.
  5. In the Start Date field, enter or seelct a start date for the interface.
    1. The report will begin with information from this date.  
    2. When the information is actually pulled/posted to the general ledger, there is only an end date.  
    3. To view all possible information that may post, this field may be left blank to review all the information available up to and including the ending date.
  6. In the End Date field, enter or select an ending date for the interface.
    1. All information prior to and including this date will be interfaced for modules that were setup to be combined.
  7. Account Filtering section is only available if one or more segments has been set to Ask or Required in the Post by column in General Ledger Settings.
    1. When a segment has been set to Ask, the segment value is an optional selection and may be left blank.
    2. When a segment has been set to Required, the segment value must be selected in order for the interface to post.
  8. Print, preview, or save the report (see Report Preview, Print and Save Options).
  9. This report will generate a list of information that may be interfaced to the general ledger from the module selected.
  10. If there are any errors, the last column will display a letter depending on the error.
    1. Typically, any errors or issues would be corrected by the time the information reaches the interface.  There are times when an error may still occur.
    2. The errors must be corrected before the information will post.
    3. On the report, the transactions in question will print in italics and the last column for an italicized line will contain one of the following codes under the E column.
      1. L = Locked Period
      2. G = Invalid General Ledger Account
      3. D = Date not in the Create Accounting Periods for Next Fiscal Year
  11. Look at the last page of the report to make sure the interface is in balance (the debit and credits equal).
    1. If the report is not in balance, review the report to find the error.
    2. Contact the Help Desk if you need assistance.

Pull Interfaces

NAVIGATION: UTILITIES menu > Pull Interfaces

  1. Click the Pull Interfaces icon.
  2. Select the module you want to post.
  3. Company/Fund Code: Select a company or funding code to interface combined information from into the general ledger of the company that the user is currently logged into.  Usually this is the same as the company the user is logged into. For example, C001, WH01, etc.
  4. Company/Fund Name will display the name of the company or fund that was selected.
  5. In the End Date field, enter or select an ending date for the interface.
    1. All information prior to and including this date will be interfaced for modules that were setup to be combined.
  6. When the process is complete, a posting register will be display.
    1. Preview/print the report for your records.
    2. Posting registers are available to re-print on the TOOLS menu > Re-Print Journal Postings.

Interface Error Updates

Typically, any errors or issues would be corrected by the time the information reaches the interface. There are times when an error may still occur.

If you post the interface and an error occurs, you can correct in the Interface Error Updates.

Setup Interface All

Instead of pulling each module interface individually, Interface All can be setup to pull multiple modules at one time.

When Interface All is setup, Interface All is the first option on the Pull Interfaces menu.
